Email & Anti-Spam Policy

1. What we send

PenCanvas sends two kinds of email, from separate addresses:

• Account email (verification, welcome, password reset, team invitations) from [email protected]. It goes only to people who created an account or were invited by a workspace owner.
• Author newsletters that authors send to their own subscribers, from news.pencanvas.com or the author's own verified domain.

2. Consent: double opt-in only

A reader joins an author's list by entering their own address on the author's site. We then send a "Confirm your subscription" email, and the reader receives nothing else until they click the confirmation link. Signup forms are protected against bots and rate limited, and we limit repeat confirmation emails to the same address.

3. No purchased or rented lists

Authors may only email people who agreed to hear from them. Buying, renting, scraping or harvesting addresses is prohibited. Authors who import an existing list must own it and have the subscribers' consent. Accounts that break this are suspended.

4. Unsubscribing

Every newsletter carries a visible unsubscribe link and one-click unsubscribe headers (RFC 8058), so mail apps can offer an Unsubscribe button. Unsubscribes take effect immediately, and we never send to an unsubscribed address again. Every newsletter also shows the sender's physical postal address.

5. Bounces and complaints

• Hard bounces and spam complaints suppress the address immediately; repeated soft bounces do too.
• A sender whose bounce rate or complaint rate climbs too high is paused automatically until the problem is fixed.
• We monitor delivery health continuously and act on abuse reports within one business day.

6. Report abuse or ask us to stop
